Job Summary:

SolarQuest, a leading renewable energy company specializing in solar solutions, is seeking a highly organized and detail-oriented Administrative Assistant to join our team in Milnerton, South Africa. The successful candidate will play a crucial role in supporting our daily administrative operations, ensuring efficient and smooth functioning of the office. Strong administrative skills, attention to detail, and the ability to multitask are essential for this role.

Responsibilities:

  • Provide comprehensive administrative support to the SolarQuest team, including executives and department managers.
  • Perform general office duties such as answering phone calls, taking messages, and managing correspondence.
  • Maintain office supplies and equipment, ensuring adequate stock levels.
  • Assist with scheduling and coordinating appointments, meetings, and travel arrangements.
  • Prepare and distribute internal and external communications, memos, reports, and presentations.
  • Maintain accurate and up-to-date records, databases, and filing systems.
  • Assist with the organization and coordination of company events and meetings.
  • Collaborate with various departments to ensure smooth interdepartmental communication and workflow.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Manage and reconcile expense reports and invoices.
  • Conduct research and gather information as needed.
  • Uphold strict confidentiality and discretion in handling sensitive information.

Requirements:

  • Proven experience as an administrative assistant or in a similar role.
  • Strong administrative and organizational skills, with keen attention to detail.
  • Proficient computer skills, including MS Office (Word, Excel, PowerPoint, Outlook) and Google Suite.
  • Excellent written and verbal communication skills in English.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Strong problem-solving skills and the ability to work independently and as part of a team.
  • Professional and friendly demeanor with excellent interpersonal skills.
  • High level of integrity and the ability to handle confidential information.
  • Flexibility and adaptability to handle changing priorities and tasks.
  • Knowledge of the renewable energy industry or interest in sustainable energy is a plus.

Education and Experience:

  • High school diploma or equivalent qualification.
  • Additional certification or training in office administration is a plus.
  • Proven experience in administrative roles is highly desirable.
